Maintenance and Facilities Lead

Project Neighbors – Valparaiso, IN
Full-Time, Salaried | $64,000/year | Reports to: Property Manager

 

Position Summary

The Maintenance and Facilities Lead is responsible for the safety, functionality, and upkeep of Project Neighbors’ housing units and properties (currently 49 units, with 23 additional expected in 2026). This hands-on role combines technical repair work with contractor/volunteer coordination and recordkeeping. The Maintenance and Facilities Lead ensures that routine and urgent maintenance needs are addressed promptly, inspections are completed regularly, and residents are supported with care and professionalism.

This role requires a balance of proactive planning, responsive problem-solving, and sensitivity to the diverse populations we serve, including individuals and families who have experienced housing insecurity, domestic violence, addiction, and other hardships.

 

Core Responsibilities

Maintenance & Repairs

  • Complete urgent and routine repairs across all properties
  • Plan and schedule all maintenance and repairs
  • Respond to maintenance requests in a timely and respectful manner
  • Coordinate with contractors for specialized repairs (e.g. HVAC, roofing, plumbing)
  • Instruct residents on basic, preventative maintenance (e.g. replace/clean filters, unclog drains)
  • Develop and implement regular preventative maintenance procedures
  • Organize and secure the PN tool garage, ensuring inventory is recorded, stocked, and maintained
  • Complete property/facility improvement projects as time and budget allow
  • Maintain the grounds of certain properties (Neighbors Place, Locust St, etc)

 

Inspections & Turnovers

  • Conduct routine property inspections to identify and address maintenance needs
  • Report safety hazards, lease violations, and other major concerns to the Property Manager
  • Perform move-in and move-out inspections alongside the Property Manager; prepare units for new residents
  • Maintain a regular inspection schedule, aiming to visit each unit at least twice annually, with flexibility to increase as needed based on unit condition, resident feedback, or known issues.

 

Oversight & Supervision

  • Coordinate and oversee contractors and vendors for repair work as needed
  • Instruct and supervise volunteers during scheduled workdays; help plan, recruit, and prepare for workdays
  • Collaborate with the Property Manager and the Executive Director on major project planning
  • Collaborate with the Property Manager to align on task prioritization and create a productive weekly/monthly maintenance schedule
  • Coordinate with the Property Manager and Administrator to ensure repairs and supply purchases remain within budget

 

Documentation & Reporting

  • Track and report weekly maintenance activity to the Property Manager 
  • Maintain organized records of repairs, inspections, and completed work
  • Use digital tracking tools to log work requests and monitor outstanding issues
  • Communicate regularly with the Property Manager about cost estimates, project timelines, and supply needs
  • Maintain an inventory record of all equipment and supplies

 

Emergency Response

  • Serve as on-call contact for 24/7 emergency maintenance (e.g. major leaks, broken locks, lock-outs, no heat)
  • Coordinate backup coverage with the Property Manager and/or volunteers when time off is requested

 

Qualifications

  • 3+ years of experience in general maintenance and facilities oversight
  • Proficiency in basic plumbing, electrical, carpentry, drywall, and painting
  • Ability to troubleshoot problems and make cost-effective decisions
  • Strong organizational skills and attention to detail
  • Ability to supervise others and manage multiple tasks simultaneously
  • Must be able to lift 50 lbs and navigate stairs, ladders, and tight spaces
  • Valid driver’s license, auto insurance, and reliable transportation to work; maintenance van and trailer will be provided
  • Willingness to adopt digital tools; familiarity with Google Workspace and Yardi are a plus

Compensation & Benefits

  • $64,000/year salary
